Getting started

How do I get started with Yenlio?

Book a demo through the website and we’ll set up a trial tailored to your setting. Once you’re ready, we help you import your children, rooms, and staff, and you can be running registers and observations the same week.

Is there a free trial?

Yes. Every plan starts with a free trial so you can try Yenlio with your own setting before committing. No card is required to start, and there’s no setup fee.

Using Yenlio

What devices does Yenlio work on?

Yenlio works on phones, tablets, and computers. Practitioners typically use the mobile app to capture observations on the go, while owners and managers often use the web portal for invoicing, reporting, and administration.

Will Yenlio help with Ofsted inspections?

Yenlio keeps learning journeys, progress checks, and safeguarding records continuously up to date, and gives you a running sense of where you stand against what inspectors look for — so you’re ready without a last-minute scramble.

Billing

Where do I manage billing and subscriptions?

Subscriptions and billing are managed here on the web, through your account on the Yenlio website — not inside the mobile app. This keeps pricing transparent and in one place. You can view invoices, update payment details, and change plan at any time.

How are parent payments collected?

Yenlio’s automated invoicing can collect parent payments by Direct Debit through our payments partner, so fees arrive on time without you chasing them. Invoices are built from each child’s contract and funded hours.

Does Yenlio handle funded hours?

Yes. Funded entitlement is tracked separately from contracted hours, so government funding is never confused with what you bill a parent. Invoices deduct funded hours automatically.

Can I cancel at any time?

Yes. There’s no long-term contract on monthly plans — you can cancel whenever you need to. If you’ve paid annually, your plan runs to the end of the period you’ve paid for.

Privacy & security

How is children's data kept safe?

Children’s data is handled under UK GDPR, the Children’s Code, and the EYFS statutory framework. Data is encrypted, access is controlled by role, and each setting’s information is strictly separated from every other setting’s. Photos shared with parents have other children’s faces automatically blurred.

Who is the data controller?

Your setting is the data controller for the children’s information you hold. Yenlio acts as a data processor on your behalf, handling that information only as your setting instructs and as set out in our data processing terms. See the privacy policy for the full detail.
